Official property survey is required for any new fence, patio, deck, driveway or other permanent structure on the property or for any change to any structure that would change its size or shape. For adopted Area Maintenance Applications and projects that do not involve new/changed structures an 8.5x11 screenshot from PWC Mapper is suffice.

All submissions that involve anything beyond the original house boundaries require a detailed scale drawing showing the location of the proposed improvements or maintenance relative to the house and the property boundaries.

Photographs of the location and existing property in its current condition

Supplementary drawings, descriptions, photographs, color samples, etc. of the work to be completed. These must be detailed enough to allow the DRC to determine whether the work will meet the Design and Landscape Guidlines.

Total combined size of all the files uploaded does not exceed 10 megabytes. ( Please see upload instructions for help to reduce file sizes.)

Upload Instructions

Be sure the application for is the latest version available from the VA Oaks Design and Landscape Architectural Guidelines. Only applications dated 10/26/2021 in the footer can be accepted.
Make sure handwriting is clear and readable.
Scan all application pages into the one PDF. You can use a traditional scanner. These are available at most copy stores and service counters, if you do not have one. You can also use a scanner application for your phone or tablet, provided all pages are clear and readable.
Name the files being uploaded correctly. Files MUST be named as follows: Last Name - House # Street - Application Type - Date
If your TOTAL combined file size for all the files you are uploading exceeds 10 megabytes, use the Adobe free online file size reducer or shrink scanned application files, and use Panda's free JPEG compression tool to reduce image sizes.
If you are submitting more than on application, complete this form separately for each application and add a number after the date in the file name.
Upload all drawings and supporting documents as scanned documents (PDF's).
Photos, surveys, plats, drawings, and other documents should be named as follows: Last Name - House Number - Street - Date - (Plat/Survey/Drawing/Photo) - (1,2,3 etc)
